I talk a lot about the importance of checklists. As a result, a lot people have asked me to share my personal checklists.
I thought I’d start with my weekly project review checklist. I should note, my first introduction to a weekly review came from David Allen. His books, his Web site and his online forums offer multiple resources you can use to build your checklist.
My Weekly Review Checklist:
1. Environment
a. Tasty beverage
b. Cool music
c. Phones turned off
d. Auto-check of email is turned off (no new mail)
2. Inbox under control
a. If you can’t get all your inboxes to zero in 15 minutes, make sure all the loose papers and random ’stuff’ is collected in one trusted location so you can process it later
b. Email, physical mail, & voice mail empty
c. Possible locations for inbox items:
i. Computer bag
ii. Mail cubby hole in kitchen
iii. Wallet - receipts, notes
iv. Desk cleared
v. Car
3. Review goals
a. Perfect day
b. 3-5 year goals
c. 1 year goals
4. Review of current projects & next actions
a. Does each project have a defined outcome?
b. Does each project have a clear next action?
5. Is each next action — ACTIONABLE
a. Do you know what resources you’ll need to accomplish this next action?
b. Anything that can / should be delegated to someone else?
c. How long will it take to complete each item?
6. Connect the dots
a. Which projects support your goals?
i. How again?
b. Which projects don’t support your goals?
i. Why are you committed to this?
c. Which goals don’t have currently have a project represented?
7. What’s stuck?
a. Which projects haven’t moved in the last week or so?
b. What are you resisting here?
c. Who can help you here?
8. Review your calendar
a. What’s coming in the next two weeks?
i. What do you need to prepare
b. Meetings from the last week
i. What next actions came out of this
